Terms of Service
Last updated: October 13, 2026
These Terms of Service ("Terms") are a binding agreement between you and TVB Apps LLC, a Washington limited liability company doing business as Fourplex ("Fourplex," "we," "us," or "our"), governing your use of getfourplex.com and the Fourplex application (the "Service"). By signing up for or using the Service, you agree to these Terms. If you are agreeing on behalf of an HOA or other organization ("Customer"), you represent that you have authority to bind that organization, and "you" refers to that organization.
Please also review our Privacy Policy, which explains how we handle information.
The Service
Fourplex provides management software for small, self-managed homeowners associations and similar communities. Current features include a board-shared, threaded inbox with drafts and delivery tracking; a calendar with reminders and meeting notices; document storage, text extraction, and permission-scoped keyword and semantic search; meeting coordination; a member directory; records-request and maintenance-request tracking; architectural-review (ARC) workflows; announcements; online voting and elections; compliance and board-term tracking, including a first-run setup wizard that can save unfinished drafts until the board finishes or clears them, deadline reminder emails and an in-app board reminder stream with per-member read state; and board-managed combined insurance-policy tracking with manually entered metadata, premiums, optional documents, renewal history, and archival; HOA dues billing with autopay (card and bank transfer); optional bank connections; an optional AI assistant (Neo); and optional utility submetering. Additional features are released as they become available, and we may add, change, or discontinue features over time.
getfourplex.com also includes public marketing-site contact paths, including careers inquiries. These paths are separate from the subscription service, and our handling of information submitted through them is described in our Privacy Policy.
Shared inbox. Authorized board users can read, draft, address, send, search, archive, and mark community email as spam on the Customer's behalf. Conversation read, starred, archived, spam, and draft state is shared among the Customer's authorized board users rather than private to one board member. Email delivery depends on third-party providers and recipients' mail systems; Fourplex may display delayed, partial, failed, suppressed, bounced, or complaint states and provide retry or editable-resend tools, but does not guarantee delivery to every recipient.
Accounts and authorized users
You must provide accurate information when creating an account and keep it current. You are responsible for activity under your account and for maintaining the security of your sign-in. Each Customer is responsible for the conduct of the board members, residents, and other users it invites ("Authorized Users") and for ensuring they comply with these Terms. Notify us promptly of any unauthorized use.
Subscription, fees, and billing
Fourplex is offered on paid subscription plans priced by community size (graduated platform pricing based on billed unit count), with optional add-ons such as utility submetering billed as a separate line on the same subscription. Submetering is a commitment for an approved number of submetered homes, billed per home with a water meter from the month the HOA's water billing starts; common-area meters and additional meters in the same home are not billed. Fourplex support approves activation and changes to the number of submetered homes using recorded customer approval and a quote; custom-quoted submetering may have separate written terms. Current plans and prices are published on our pricing page. Annual catalog subscriptions cost eleven times the entire monthly subscription total, including submetering, giving one month free. Plans may be billed monthly or annually, and fees are charged to the payment method on file (card, US bank account, or Link) at the start of each billing period. A US bank debit for the Fourplex subscription can take up to four business days to clear. Displayed prices are exclusive of applicable sales tax, which may be added at checkout based on your billing address and local tax rules. Fourplex does not add a card, Link, or bank processing fee to the subscription invoice. Optional promotional discounts — including a promotion code entered at signup and catalog coupons applied by Fourplex support — may reduce eligible subscription items according to their terms; existing written lifetime pricing and discount agreements retain their promised scope; a signup promotion applies to the first paid invoice after the trial. When tax is calculated, Stripe Automatic Tax uses the discounted amount and your billing address. Subscriptions renew automatically for successive periods unless cancelled. We may change our prices and plans at any time. Except where a separate written contract with you states otherwise, we will give you advance notice of any price change that affects your existing subscription, and the change will take effect at your next renewal.
Submetered home purchases and changes. Support quotes additional submetered homes for the remaining portion of your current monthly or annual term, using the existing renewal date and applicable discount and tax terms. Paid homes become available after verified payment settlement, or a verified zero-amount purchase. A processing bank debit does not confirm payment. Additions do not restart the subscription term. A reduction in submetered homes, or removal of the submetering add-on, takes effect at renewal: prepaid homes remain available through the paid term, with no ordinary partial-period refund or credit. Removing devices, missing readings, or archiving homes does not change the purchased number of submetered homes or create a purchase. Requests for changes go through Fourplex support. Applicable law and the termination/refund rights in our Data Processing Agreement continue to apply.
Payment processing
For communities on HOA-local billing, an issued dues, water, or trash bill can be paid manually as soon as it is issued. Automatic payment for dues, water, and trash is initiated at or after 8:00 a.m. on the due date in the community's time zone. That time is when Fourplex may start the payment, not when the bank debits the account or when the payment settles. An issued utility amount does not increase if the board adds a charge later; that addition is included on the next bill. Enrollment in one service does not enroll another. An already issued bill requires separate confirmation of the disclosed amount, fees, payment method, and local collection date before its deadline; otherwise enrollment covers future bills. Applicable advance notices may defer a bank debit while preserving the original bill deadline and preventing a late-fee penalty caused by that notice delay. An issued HOA-local dues invoice keeps its finalized processing fee if fee settings or the selected payment method later change; checkout and renewed autopay confirmation show that invoice total. A changed debit amount or method requires renewed disclosure and any required confirmation or notice. A processing payment remains in progress until processor-confirmed settlement.
HOA dues, recurring utility services, fees, and subscription charges are processed by Stripe, Inc. ("Stripe"). Residents choose which enabled recurring services may use autopay; each selected service may create a separate Stripe charge. When your community absorbs processing fees, the resident payment includes only the billed amount. When pass-through processing fees are enabled for your community, those Stripe fees may be added to resident payments — including utility service autopay for trash or water — the same way they apply to dues and other portal payments, so the HOA receives the full principal amount. When you or your members make a payment, Stripe collects and stores the payment details; Fourplex does not store full card numbers, full bank account numbers, or routing numbers and stores only non-sensitive payment metadata. When a board member adds or updates the HOA's Fourplex subscription payment method, Stripe collects a billing address through its payment form so Automatic Tax can determine location; we also copy the community city, state, and ZIP code collected at signup onto that Stripe Customer. By making a payment, you also agree to Stripe's Services Agreement. Stripe is certified under PCI DSS Level 1, and Fourplex maintains the corresponding reduced PCI scope.
A confirmed failure of a Trash automatic payment disables that Trash autopay consent for future bills and sends a mandatory failure notice asking the resident to review and re-enroll. Dues and Water consent remain independent. Residents can replace a saved payment method while autopay is off. Replacing that method does not re-enroll a disabled service; paying an existing bill and authorizing future autopay remain separate actions. Recoverable authentication, including an original invoice payment requiring additional card authentication without an error code, retains the unpaid obligation and its existing service authorization. Financial lines and adjustments remain attached to the processing original invoice until its outcome is established; an authentication request does not itself record payment or authorize rebilling those adjustments. Unresolved payment outcomes retain their existing handling. Board-recorded external payments retain received facts and can be partial; paid or processing obligations cannot be recorded again. After Trash bill issuance, a correction to its base is a signed adjustment on a later eligible bill rather than a change to the issued invoice. Credits never make an invoice negative and any excess carries forward. This period correction does not change the recurring price. A prospective Trash schedule change does not replace an already-issued bill or change its disclosed amount or collection date; authorized collection remains subject to required notice and payment checks.
Recording an external payment records money received outside Stripe and does not initiate another Stripe charge. After full settlement, Fourplex retires a superseded unpaid online invoice when no unresolved payment still requires it. A fully recorded external payment stops automatic collection of that charge.
Monthly billing notices and receipts. New community billing schedules provide 14 local calendar days after actual bill issuance before the due date, as described under "Billing timing" below. Delayed issuance moves the due date forward. Notices identify the service period, principal, applicable usage/allocation, processing fee and total. When no method has been selected, fees are disclosed at checkout. An invoice's processing fee is charged once and matches the amount disclosed before payment. Authorized autopay may begin at 8 a.m. in the community timezone on the disclosed collection date; payment initiation does not guarantee the date a bank debit posts. Preparing an HOA-local dues invoice does not itself debit the resident; an authorized collection uses the issued bill and its disclosed amount. A bank debit submission remains processing and a payment-received receipt follows processor-confirmed success. Delayed or duplicate processor confirmations are reconciled against the original payment; a delayed confirmation does not itself authorize another debit. A later full bank return, or a full refund by the community, can restore the original dues principal, or a one-time assessment or trash bill, as outstanding; an earlier receipt does not prevent a bank return or authorize another debit of the original invoice. Required notice delays may defer collection without a system-caused late-fee penalty. Existing issued bills keep their original dates and amounts. Where Fourplex pays processor fees and resident fee recovery is enabled, the disclosed recovery reaches Fourplex through an application fee; current rates do not guarantee exact break-even on every transaction.
Processing-fee disclosure. Current standard rates are on our pricing page. The effective community policy may include support-agreed dated exceptions, negotiated rates, or community absorption of fees. Payment previews, notices, authorizations, and receipts identify the applicable terms. A prospective fee increase requires renewed disclosure and any required notice and authorization before affected collection. Finalized issued invoices and historical receipts retain their original fees and amounts. Recording a payment received by cash or check does not create a Stripe charge or a Fourplex processing fee.
Payments recorded by the board. Authorized board members may record Water payments received outside Fourplex with a method, received date, optional check reference and owner-visible receipt note. These entries retain the resident payer and board recorder separately. Partial entries settle only the amount recorded; separate late fees retain their own balance. Recording an external payment does not represent processor confirmation or cause a processor-success receipt email.
Dispute notices. Fourplex sends board officers an opening notice when it receives a payment dispute. Email delivery can be delayed and retried when delivery cannot be confirmed; the current dispute status and response deadline remain available in the Service.
Billing timing. For communities on HOA-local billing, recurring resident bills follow this schedule, using dates and times in the community's time zone:
- Posting. Monthly dues post (are issued) 14 days before the dues autopay date the community's board selects, which is between the 1st and the 28th of the month. That posting date may fall in the month before the autopay date, and each monthly dues bill covers the month of its autopay date. Water and trash bills post on the 1st of the month and cover the service period that ended immediately before posting; quarterly trash posts on the 1st after the quarter ends. A community moving trash from advance billing to this schedule has one posting date with no trash bill because that period was already billed, so each service period is billed once. One-time assessments post when the board issues them.
- Advance notice before autopay. Fourplex sends a notice when each recurring bill posts, identifying the service period, amount, applicable fees, total, and scheduled automatic payment date. Automatic payment is not initiated until at least 14 calendar days after posting, at or after 8:00 a.m. on the due date. If a bill posts late, the due date moves later so the full 14 days are preserved. A board-selected utility due day that falls later in the posting month moves the due date to that day. One-time assessments use the due date the board selects and are never paid by autopay.
- Manual payment window. A posted bill can be paid manually at any time after it posts, including before its due date. A paid or processing manual payment prevents automatic payment of the same bill.
- Next-bill adjustments. A posted bill's amount, lines, and dates do not change. Water or trash charges, corrections, and credits recorded after a bill posts appear on the next bill as separate lines. A change to a community or unit dues amount applies only to bills that have not yet posted and does not create a credit or charge line. Dues setup does not accept a first billing month earlier than the current month; amounts for earlier periods may be billed as a one-time assessment. Usage-based water billing starts on the day it is turned on or on the 1st of a later month, and water used before billing starts, or while it is stopped, is not billed. When water billing starts mid-month, that month's fixed water charges and usage tier limits are reduced to the days billed.
- Schedule changes. A board's change to the autopay date, amounts, or utility settings applies to future bills and does not change a bill that has already posted.
Bank connections. If you choose to connect a bank account through Stripe Financial Connections — to enable bank (ACH) payments or read-only balance and transaction visibility — you authorize Stripe to access that account's data on our behalf for those purposes. Fourplex does not store your bank login credentials and cannot initiate transfers out of a connected account. You may disconnect a linked account at any time.
New trash billing periods are billed after they end, as described under "Billing timing" above. For communities on HOA-local billing, future periods use the timezone policy effective for that period. A later timezone change does not rewrite an issued bill's original due date or collection timing.
Your data
Your HOA's data is yours. We do not claim ownership of the data you enter into Fourplex, and we process it as your service provider as described in our Privacy Policy. You can export your data at any time, and on account closure we make your data available for export before deletion as described in that policy.
AI features (Neo)
If enabled for your community, the Neo assistant uses large language model technology to help you find and summarize information. Your use of Neo is subject to the following:
- Accuracy and limitations. Outputs generated by Neo ("AI Outputs") are probabilistic and may be incomplete, inaccurate, or outdated. AI Outputs are provided for informational convenience only and do not constitute legal, financial, property-management, or other professional advice. You are solely responsible for verifying AI Outputs against official records before relying on them, and Fourplex is not liable for decisions made in reliance on unverified AI Outputs.
- No model training on your data. Fourplex does not use your data to train AI models, and we contractually require zero data retention from the AI providers that process Neo requests.
- Acceptable use. You agree not to use Neo to attempt to access data you are not authorized to see, to circumvent access controls, or to generate unlawful, harmful, or abusive content.
Utility submetering
If your HOA enables utility submetering, Fourplex collects meter readings from a third-party metering integration (currently NextCentury) and calculates per-unit usage charges based on that data and the utility provider rates your HOA's confirmed catalog assignment uses. Meter readings and the resulting calculations may be delayed, incomplete, or inaccurate due to factors outside our control, including meter hardware, the third-party provider's data, or your HOA's configuration.
The board's monthly Water view may show provisional Estimated cost to date from stored consumption and the HOA's assigned rate plan before issuance. This is informational rather than an issued balance or a forecast for missing days. Issued charge explanations use frozen rate evidence and adjustments included on that statement; processing fees and the HOA subscription add-on remain separate. This display does not require a monthly city invoice or change issuance, payment, or correction timing.
The optional Fourplex submetering service (the SaaS add-on billed to the builder or HOA at the published per-submetered-home rate) is started and changed only by Fourplex support. Connecting meters, receiving reads, or assigning a municipal rate does not start that add-on, and starting it does not by itself generate resident water charges. Fourplex does not automatically increase HOA dues or pass the add-on fee through to residents.
Fourplex may use automated tools to monitor public utility-rate webpages and prepare draft catalog changes. Automated agents cannot publish rates, assign a plan to an HOA, activate charging, or access HOA/resident usage or private provider-bill data. A human Fourplex administrator reviews and approves any published change, and the Service retains the official source citations used for that review.
Before water billing is activated, Fourplex support matches the provider, territory, customer class, service size, billing cadence, and other relevant bill facts to one published rate plan and reconciles a provider bill against that plan. Activation requires a confirmed reconciliation. A discrepancy may be accepted only when Fourplex support records a reason and an immutable override audit entry.
Unless an applicable published rate states a different rule, Fourplex calculates components at full precision, adds the net charge for one billing premise and billing period, and rounds that single net total upward to the next cent. This policy may collect zero to less than one cent above the unrounded mathematical total for that premise and billing period. The rounded amount is allocated without creating additional per-component, per-meter, per-dwelling, or per-unit rounding surplus. A negative net credit rounds toward zero.
Where a community also enables flat-rate utility split billing (such as trash), the resident portal includes a Utilities view that displays each unit's computed charge alongside a derivation disclosure — showing the base bill, separately itemized one-time fees, total, split method (equal per unit, occupancy, or ownership percentage), and allocation factor used to arrive at that unit's share. These values are computed from the period's saved allocation at charge-generation time, are final for the billing period in which they were generated, and are displayed in the portal solely for the resident's reference and transparency.
Fourplex helps submeter and bill water charges directly to property owners. Fourplex does not provide tenant billing and is not responsible for any arrangement in which an owner passes water charges through to a tenant or other occupant. If you pass charges through to a tenant, you are solely responsible for ensuring that arrangement complies with all applicable laws and regulations, which vary by jurisdiction.
You are responsible for reviewing your bills. To the fullest extent permitted by law, Fourplex is not liable for any billing inaccuracies arising from submetering, including any resulting late fees, interest, or other charges. You should inspect each bill and promptly report any suspected inaccuracy to us at hello@getfourplex.com so it can be investigated and corrected. While we will work in good faith to correct confirmed errors, you remain ultimately responsible for the amounts billed.
Acceptable use
You agree not to use the Service to:
- Violate any applicable laws or regulations;
- Store or transmit unlawful, defamatory, infringing, or harmful content;
- Infringe the intellectual-property or privacy rights of others;
- Attempt to gain unauthorized access to any part of the Service or another community's data;
- Reverse engineer, scrape, or probe the Service except as permitted by law; or
- Circumvent, overload, or abuse the Service, including through excessive API usage or bulk operations beyond reasonable individual use.
Public community websites. Fourplex provides each association an optional public website. The association is solely responsible for all content it publishes there and must not post content that is unlawful, hateful, harassing, infringing, or otherwise improper. Fourplex may remove or disable such content at its discretion at any time and will notify the association when it does so. The association is responsible for its own compliance with any laws that require it to publish information on a website.
Usage limits and fair use
Fourplex reserves the right to set, change, and enforce reasonable usage limits at any time — for example, on storage, number of members, number of units, emails sent, or API requests. We will publish any applicable limits on our pricing page or in your account settings, and we will give reasonable notice before reducing limits that affect your existing plan. We may make exceptions to published limits at our discretion, including suspending or restricting access to accounts that we reasonably believe are being used abusively, fraudulently, or in violation of these Terms.
Third-party services
When Stripe requires an HOA customer-support phone number during Connect onboarding, you must provide a number you are authorized to publish to residents; Stripe may display it on receipts or invoices it issues.
The Service relies on third-party providers, including Stripe, Supabase, Resend, Vercel and its AI Gateway, PostHog, Sentry, Cloudflare, and (for submetering) NextCentury. A current list is published on our Subprocessors page. Your use of features that depend on these providers may be subject to their terms, and we are not responsible for the availability, accuracy, or practices of third-party services. Our processing of community data on your behalf is governed by our Data Processing Agreement.
Intellectual property and feedback
The Service, including its software, design, and content (excluding your data), is owned by Fourplex and protected by intellectual-property laws. We grant you a limited, non-exclusive, non-transferable right to use the Service during your subscription. If you provide feedback or suggestions about the Service, you grant Fourplex a perpetual, royalty-free, worldwide license to use that feedback without obligation or compensation.
Warranty disclaimer
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. FOURPLEX DISCLAIMS ALL IMPLIED WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE, OR THAT AI OUTPUTS OR OTHER INFORMATION PROVIDED THROUGH THE SERVICE WILL BE ACCURATE OR COMPLETE.
Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, FOURPLEX WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE, OR EXEMPLARY DAMAGES, INCLUDING LOST PROFITS, LOST DATA, OR BUSINESS INTERRUPTION, EVEN IF ADVISED OF THE POSSIBILITY. FOURPLEX'S TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM.
Indemnification
You agree to indemnify and hold harmless Fourplex from any claims, damages, liabilities, and expenses (including reasonable attorneys' fees) arising out of your misuse of the Service, your violation of these Terms or applicable law, or content you or your Authorized Users submit through the Service.
Suspension and termination
We may suspend or terminate your access to the Service for non-payment, violation of these Terms, illegal activity, or a security threat. Where practical, we will provide notice, but we may act immediately to address urgent risks. You may stop using the Service at any time.
Cancellation
You may cancel at any time from your account settings. Cancellation takes effect at the end of your current billing period. No ordinary refunds are issued for partial periods, except where required by law or the termination/refund provisions in our Data Processing Agreement. After cancellation, your data is available for export and is then deleted as described in our Privacy Policy.
Force majeure
Fourplex is not liable for any delay or failure to perform caused by events beyond our reasonable control, including natural disasters, acts of government, pandemics, internet or power outages, or failures of third-party infrastructure or payment processors.
Governing law
These Terms are governed by the laws of the State of Washington, without regard to its conflict-of-laws rules. Subject to the arbitration provision below, the state and federal courts located in King County, Washington have exclusive jurisdiction over any matter not subject to arbitration.
Dispute resolution; binding arbitration; class-action waiver
Please read this section carefully — it affects your legal rights.
Informal resolution first. Before starting an arbitration, you agree to contact us at hello@getfourplex.com and attempt to resolve the dispute informally for at least 30 days.
Binding arbitration. Except as provided below, any dispute arising out of or relating to these Terms or the Service that is not resolved informally will be resolved by final and binding arbitration administered by the American Arbitration Association (AAA) under its Commercial Arbitration Rules, before a single arbitrator. The arbitration will take place in King County, Washington, or by remote proceeding, and judgment on the award may be entered in any court of competent jurisdiction.
Class-action waiver. Disputes will be arbitrated only on an individual basis. You and Fourplex waive any right to bring or participate in a class, collective, consolidated, or representative action. The arbitrator may not consolidate more than one person's claims.
Exceptions. This section does not require arbitration of: (a) claims that qualify for small-claims court; or (b) requests for emergency or injunctive relief to protect intellectual-property or confidential information, which may be brought in the courts identified above.
30-day opt-out. You may opt out of this arbitration agreement by emailing hello@getfourplex.com within 30 days of first accepting these Terms and stating your intent to opt out. If you opt out, the "Governing law" section's court-jurisdiction provisions will govern your disputes.
Changes to these Terms
We may update these Terms from time to time. We will revise the "Last updated" date above and, for material changes, notify users through the Service or by email before the changes take effect. Your continued use of the Service after the changes take effect constitutes acceptance of the revised Terms.
Assignment
You may not assign these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, or sale of all or substantially all of our assets.
Miscellaneous
If any provision of these Terms is found unenforceable, the remaining provisions remain in effect. Our failure to enforce a provision is not a waiver of it. These Terms, together with our Privacy Policy and any plan terms referenced on our pricing page, are the entire agreement between you and Fourplex regarding the Service.

Trash correction records
Boards may record a reason and optional supporting bill for a Trash adjustment. Affected owners can view the reason and confirmed file after authentication. A correction for an issued period is reserved for the next eligible new-system invoice; it does not change an already-issued bill or authorize a separate payment. Historical legacy corrections retain their recorded payment and credit handling. Prospective Trash due-day edits do not alter issued bills or Water collection dates.
