Maintenance Requests
Submit and track maintenance requests for your unit or a common area
Maintenance Requests
Maintenance requests let a resident report a problem in their unit or in a shared part of the community. Board members review those requests, update the status, and keep notes as the work moves along.
What kinds of issues belong in a maintenance request?
Use a maintenance request for either of these:
- A problem in your unit, such as a leak, an appliance the HOA is responsible for, or damage you want the board to know about
- A problem in a common area, such as landscaping, the parking lot, exterior lighting, a gate, or a shared mailbox
Choose Unit issue or Common area when you submit. A unit issue asks you to pick your unit. A common-area request does not.
How to submit a maintenance request
- In the resident portal, go to Requests and click New request.
- Choose Maintenance Request.
- Enter a title and a description. Say where the problem is and what you saw.
- Leave the category on Unit issue and confirm your unit, or switch to Common area.
- Optionally attach photos or a PDF.
- Click Submit.
Board members can also start a request from Maintenance. They can choose any unit in the community.
What happens after I submit?
The request shows up on your Requests list. You can open it to read the status and add a comment. You see the requests you submitted. You do not see requests filed by other residents.
Board members see every request for the community. They receive an email when a new request comes in, and they update the status as the work proceeds.
What are the status stages?
- Open — the request has been received
- Acknowledged — the board has seen the request
- In progress — work has been scheduled or started
- On hold — the board has paused the request
- Resolved — the issue has been addressed
The board can also cancel a request, and can add notes at any stage.
How do I check the status of my request?
Go to Requests in the portal and open the maintenance row. The page shows the current status, the description, and the activity on that request.
What can board members do with a request?
Board members can:
- Update the status as work progresses
- Assign the request
- Add notes explaining actions taken or next steps
- Mark a request resolved when the issue is fixed
Does Fourplex manage contractors or work orders?
No. Fourplex tracks the request from submission to resolution. Finding a contractor, scheduling work, and paying invoices happens outside the app. The board uses the status and notes to keep the submitter informed.
